Cancellation Policy - Important Information
If you need to cancel your appointment, the cancellation policy will apply to all bookings. The cancellation policy is as follows:
I have a cancellation list with clients waiting for appointments, therefore I can often fill the appointment if I am given the required notice.
You can also rearrange or cancel your appointment within the required timescales, by clicking the appropriate links shown below in the email sent to you when you booked your appointment.

I Rhonda Robinson of Healing Soles Reflexology am unable to judge reasons for change, cancellation or non-arrival, guests are reminded that no exceptions will be made and that any booking made (verbal or written) forms a legally binding contract.

My right to cancel an appointment
In very unusual circumstances I may need to cancel your booking. In the event that I cannot fulfil your appointment, I will contact you by telephone; where possible, at the earliest possible date.

Refunds are not offered for any completed services. However if you are in any way dissatisfied with any aspect of your experience, please contact me. I will try my upmost to resolve any problems.
Your Personal Records
You agree to keep your personal records held by the practice updated with your full contact details; which will enable us to contact you in the event of any change relating to your appointments. Where possible, please provide both landline and mobile telephone numbers.
Please refrain from using a mobile phone and ensure it is switched off for the full duration of your time during treatment.
Please understand that I cannot accommodate children under 12 - unless supervised by an adult during your treatment. Of course this excludes your '1:1 Baby Reflexology Tuition and Classes' and also 'Mummy and Me packages'. :-)
I will treat all your Personal Information as confidential. I will keep it on a secure server and I will comply with all applicable UK Data Protection and consumer legislation. Please have a read of the Privacy Notice to understand what is done with any data you give me.
All prices are inclusive of VAT.
You confirm that the credit, debit card, that is being used is yours, All credit/debit card for treatments and gift vouchers; if the issuer of your payment card refuses to or does not, for any reason, authorise payment to us, I will not be liable for any delay or non-delivery.

Please be aware that if you send me any sensitive medical/health information, I will only hold and use this if we proceed to treatment at which time I will ask you to sign a full Privacy notice. If we do not proceed to treatment I will erase this information.

The Purpose of processing Client Data:
In order to give professional reflexology treatments, I will need to gather and retain potentially sensitive information about your health. I will only use this information for informing reflexology treatments and associated recommendations concerning aspects of health and wellbeing which I will offer to you. I take basic contact details and information via my website to allow me to contact you and handle bookings.
Lawful Basis for holding and using Client Information
As a full member of the Association of Reflexologists, I abide by the AoR Code of Practice and Ethics. The lawful basis under which I hold and use your information is my legitimate interests i.e.my requirement to retain the information in order to provide you with the best possible treatment options and advice.
As I hold special category data (i.e. health related information), the Additional Condition under which I hold and use this information is: for me to fulfil my role as a health care practitioner bound under the AoR Confidentiality as defined in the AoR Code of Practice and Ethics.
What information I hold and what I do with it
In order to give professional reflexology treatments, I will need to ask for and keep information about your health. I will only use this for informing reflexology treatments and any advice I give as a result of your treatment. The information to be held is:
I will NOT share your information with anyone else (other than within my own practice, or as required for legal process) without explaining why it is necessary, and getting your explicit consent.
How Long I Retain Your Information for
I will keep your information for the following periods:-
a. ‘Claims occurring’ insurance: (records to be kept for 7 years after last treatment)
b. Law regarding children’s records (records to be kept until the child is 25 or if 17 when treated, then 26)
c. Practitioner to specify any other constraint regarding retaining client information.
Your data will not be transferred outside the EU without your consent.
Protecting Your Personal Data
I am committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, I have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.
